Sevyn — Privacy Policy

Sevyn Software LLC ("Sevyn," "we," "us") provides a software platform for construction contractors. This Privacy Policy explains how we collect, use, and share personal information, and the choices you have. It applies to our website (getsevyn.com), our application, and related services (the "Service").
1. Our two roles
When we act for ourselves (controller). For information about our account holders, their team members, website visitors, and billing contacts, we decide how and why the information is used. We are the "business" or "controller" for that information, and this Policy governs it.
When we act for our customers (processor / service provider). Our contractor customers use Sevyn to manage their own clients (including homeowners), subcontractors, and projects. When a contractor submits information about their clients into the Service, the contractor — not Sevyn — decides how that information is used. We process it on the contractor's behalf under our customer agreement and Data Processing Agreement, as a "service provider"/"processor." If you are a homeowner or client of a contractor and want to exercise privacy rights in that information, please contact the contractor (the "controller"). We will assist them in responding.
2. Information we collect
You provide:
- Account and profile data: name, business name, email, phone, password, role.
- Billing data: plan, billing contact; payment card details are collected and stored by our payment processor (Stripe), not by Sevyn.
- Customer Data you submit: estimates, proposals, jobs, pricebook entries, invoices, photos, documents, and information about your clients and subcontractors (processed as described in Section 1).
- Communications: messages you send us (support, email).
Collected automatically:
- Usage and device data: log data, IP address, browser/device type, pages and features used, and similar analytics.
- Cookies and similar technologies: see Section 7.
From third parties:
- Authentication: if you sign in through our authentication provider (Clerk).
- Payments: transaction status and related data from Stripe.
- Bank account connections (optional): if you choose to connect a bank or card account to categorize your job costs, we receive your account's transactions, balances, and account/institution details through our connection provider, Plaid — see Section 6a. We do not receive your bank login credentials.
We do not intentionally collect government identifiers, full payment card numbers, or health information, and you should not submit them except where the Service expressly supports it.
3. How we use information
We use personal information to: provide, operate, secure, and improve the Service; authenticate users; process payments and subscriptions; provide support; communicate with you about your account and (with the controls in Section 7) about products and offers; monitor usage and enforce our Terms and Acceptable Use Policy; comply with law; and protect against fraud and abuse.
AI features. Some features use third-party AI models (including Anthropic) to generate estimates, suggestions, and insights from data in your account. We use AI to provide the feature to you; we describe our AI subprocessor in our subprocessor list.
We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising, as those terms are defined under U.S. state privacy laws. We do not use Customer Data to train third-party AI models for their own purposes.
4. How we share information
We share personal information only as needed:
- Subprocessors / service providers that help us run the Service (hosting, database/storage, authentication, payments, email, AI). See our current subprocessor list. They are bound by contract to protect the information and use it only to provide services to us.
- At your direction, including when you send proposals, invoices, or documents to your clients, or invite subcontractors.
- Legal and safety: to comply with law, respond to lawful requests, enforce our agreements, or protect the rights, safety, and property of Sevyn, our customers, or others.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
5. Your privacy rights
Depending on where you live and applicable law, you may have the right to: access/know the personal information we hold about you; correct it; delete it; obtain a copy (portability); and opt out of any sale, sharing, or targeted advertising and certain profiling. You may also be entitled to non-discrimination for exercising these rights.
To exercise rights in information for which we are the controller (account, billing, website data), contact privacy@getsevyn.com. We will verify your request and respond within the time required by law. You may use an authorized agent where the law allows.
For information submitted by a contractor about their clients (where we are the processor), please contact that contractor; we will help them fulfill your request.
We honor opt-out preference signals such as the Global Privacy Control (GPC) where required by law.
6. Retention and deletion
We keep personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. For Customer Data, we follow the retention and deletion terms in our customer agreement and Data Processing Agreement — generally, you may export Customer Data for 30 days after your subscription ends, after which we delete it in the ordinary course, subject to legal requirements and backups that expire on a rolling basis.
6a. Bank account connections (Plaid)
This section applies only if you choose to use our optional bank-sync feature to connect a financial account so Sevyn can categorize your job costs.
Plaid is the connection provider. When you connect an account, you do so through Plaid Inc. ("Plaid"), which links to your financial institution on your authorization. Plaid's handling of your information is governed by Plaid's end-user privacy policy (plaid.com/legal). You authorize the connection in a consent step at connect time, and we record that authorization with a version and timestamp.
What we receive and store. Through Plaid we receive account and institution metadata, balances, and transactions (date, amount, description, and counterparty) for the account you connect, and we store that transaction data in your account to power cost categorization and job-matching. We do not receive or store your bank login credentials — those stay with Plaid and your institution.
How we use it — and don't. We use connected-account data solely to categorize your business's job costs and surface them in your financial dashboards. We do not sell it, we do not share it for advertising, and we do not use it to train AI models for any third party's purposes or across customers.
Security. Connecting an account requires step-up identity verification, and stored access tokens are encrypted at rest.
Retention and disconnect. You can disconnect a connected account at any time from your account settings. Disconnecting removes the connection at Plaid and deletes the stored connection and its access tokens; connected-account data is then deleted or retained in accordance with our Data Retention & Disposal Policy.
Our role. Connected-account data is your own business data, which we process to provide this feature to you. We are the controller for it and handle it as described in this Policy; we are not the contractor's bank and do not provide banking, lending, or money-transmission services.
7. Cookies and tracking
We use cookies and similar technologies that are necessary to run the Service (for example, to keep you signed in) and, where applicable, to understand usage so we can improve the Service. We aim to use first-party and privacy-protective analytics. We do not use third-party advertising or cross-site tracking cookies. Because we do not "sell" or "share" personal information for advertising, there is no advertising opt-out to provide; if this changes, we will update this Policy, add a "Do Not Sell or Share My Personal Information" link, and honor GPC. You can control cookies through your browser settings, though some features may not work without necessary cookies.
8. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If we experience a data breach affecting your personal information, we will notify you and, where we act as a processor, the relevant controller, as required by law.
9. Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
10. U.S.-only service; international users
The Service is offered to U.S. businesses and operated in the United States. We do not currently target users in the EU/UK. If you access the Service from outside the U.S., you understand your information will be processed in the U.S.
11. Changes to this Policy
We may update this Policy from time to time. We will post the updated version with a new "Last updated" date and, for material changes, provide additional notice.
